Warranty Registration Specialist

Position Overview:

The Warranty Registration Specialist is responsible for accurately entering and processing Warranty Registrations for Central Boiler and Altoz products. In this role, you will be responsible for follow up with customers and with Central Boiler and Altoz dealers for any missing information. You will initiate correspondence with Dealers regarding replacement units, second owners and unregistered initial owners. In this role, you need to have accurate data entry skills, attention to detail, excellent customer service skills, ability to multi-task and prioritize work. 

To be successful in this role you should possess the ability to multi-task and work on a variety of tasks. You need to display excellent customer service and exceptional communication skills, be accurate and detail oriented, organized, and self-motivated.  

Responsibilities:

Must be able to: 

  • Review, audit, and enter warranty registrations received by Docusign, mail, email, fax, and other systems, ensuring accuracy and timely processing following all established guidelines and procedures 
  • Initiate follow-up with customers and Dealers for missing information needed to process the Warranty Registrations  
  • Correspond with Dealers regarding replacement units, second owners or unregistered initial owners 
  • File and scan warranty registrations 
  • Assist with Replacement Registrations documentation 
  • Present Warranty Registration process at New Dealer training as needed 
  • Coordinate with Marketing regarding the Warranty Registration Programs 
  • Attend Accounting meetings and report on Warranty Registration issues 
  • Assist with coordination of dealer trainings and dealer conventions 
  • Respond to Dealer and internal department inquiries through various methods (fax, email, or phone) 

Additional Responsibilities:

  • Process returned mail and attempt to update the address to resend  
  • Provide requested reports to management 
  • Willing to learn and cross train in other departments to assist other areas of the business with promotional orders, dealer correspondence and gifts, Marketing and any other tasks and duties needed 
  • Travel as needed  
  • Other duties as assigned

Required Knowledge, Skills, and Experience 

Minimum/Essential Qualifications:?

  • High School diploma, GED or relevant work experience  
  • Computer literacy, MS Office experience and able to learn internal software systems such as VCRM, SNR, Docusign, Dealer E-Comm, and Registration Applications 
  • Strong communication (oral and written), analytical, organizational and time management skills 
  • Detail oriented with high level of accuracy, efficiency, and attention to detail 
  • Demonstrate problem-solving capabilities, strong sense of responsibility and self-motivation,  
  • Excellent interpersonal and customer service skills 
  • Work efficiently with the ability to prioritize daily workload 
  • Willingness to learn and help others 
  • Composed during stressful situations 
  • Represent the company in a professional friendly manner 

Preferred Qualifications/Selection Criteria: 

  • Previous data entry and/or customer service experience helpful  

Physical Requirements such as below: 

  • Generally, spend the workday sitting at a workstation and operating computer devices such as, but not limited to keyboard, mouse and screen, performing repetitive motions that involve or affect the hands, head and other parts of the body.  May include bending, squatting, reaching and lifting.
